Privacy Policy

Your questions can be personal. This policy explains, in plain English, what AfriVoice handles, why we need it, and the choices that remain yours.

The short version

We use data to deliver the service, secure it and improve its integrity.

We do not sell your personal data. Optional microphone, location and file access is requested in context and can be refused.

01 · Scope and controller

Who this policy covers

This policy applies to AfriVoice on the web and the AfriVoice mobile application (package com.afrivoice.ai), including rights guidance, professional recognition roadmaps, community, document, map and voice features.

AfriVoice is the operator and data controller for the service described here. For privacy questions or requests, email privacy@afrivoice.jkbytes.org. We do not state a street address or registered-company identity here because no additional corporate particulars are presently published for the service.

02 · Information we collect

Information you provide

This can include your name, email, password credentials, profile image, professional background, country and language context; prompts, conversations and feedback; community posts, replies, reactions, mentions, group content and membership requests; and images or documents you upload with the private or shared visibility you choose. It also includes a location when you deliberately share one.

Information produced through use

When you permit or initiate a feature, we may process approximate or precise foreground location; microphone audio for dictation or hands-free voice; speech transcripts and generated audio; device and app diagnostics; security events and a hashed IP-derived security signal; login activity; usage and AI-governance metrics; and Google Places results and interaction events.

No background location tracking.

AfriVoice does not continuously track location in the background, and we do not sell personal data.

03 · How and why we use it

Purposes and UK GDPR bases

We process information where it is necessary to provide the service under our contract with you—for example, authenticating your account, answering prompts, managing documents and operating communities. We rely on your consent where appropriate for optional device features, such as microphone or location access, and you can withdraw that permission.

We may rely on legitimate interests to protect accounts, prevent abuse, understand service integrity and improve safety, balanced against your rights. We also process data where necessary to meet a legal obligation. The appropriate basis depends on the specific data and context; consent is not claimed where another basis applies.

04 · AI and evidence retrieval

How an answer is assembled

Your prompt, limited conversation context and selected evidence may be sent to AI, speech or related service providers to generate a response. Uploaded materials may be extracted, transcribed, segmented and indexed for retrieval-augmented generation (RAG) according to their visibility. AI output can be incomplete or wrong, so inspect cited evidence and verify important decisions.

Private documents remain scoped to your account and are not made available to other users through retrieval. They may still be handled by authorised processors needed to run the feature, or accessed where necessary for security or a legal requirement. Shared materials are available to the recipients or workspace selected by you.

05 · Sharing and processors

Who may receive information

We use categories of providers that help operate AfriVoice: infrastructure and hosting; databases and storage; AI and speech processing; maps and places; and security or service communications. We do not make claims here about a provider’s particular contract unless confirmed for the service.

Workspace and community recipients see information according to your posting, membership and visibility choices. We may disclose information to authorities or other parties when legally required, or where proportionate to protect rights, safety and service security.

06 · International transfers

Processing beyond the UK

Some providers may process information outside the United Kingdom. Where UK data-transfer rules apply, we use an available lawful mechanism, such as UK adequacy regulations or appropriate contractual safeguards. Contact the privacy address above if you would like more information about safeguards relevant to your data.

07 · Retention and deletion

We keep data only while it has a purpose

Account data and content are generally kept while your account is active or while needed to provide the service. Library documents remain until you delete them or close the relevant account, subject to lawful exceptions. A private upload marked ephemeral may be removed after its processing purpose is complete.

Security, audit and moderation records may be retained for a proportionate period needed for legal, safety, fraud-prevention or dispute purposes. Backups may take time to cycle out. Request deletion through available Profile or account controls, or email privacy@afrivoice.jkbytes.org.

08 · Security

Layered protection, not absolute promises

Measures used by the service include encryption in transit, access controls, tenant separation, private visibility boundaries, secure authentication cookies or device storage, and hashed IP-derived signals rather than retaining raw IP addresses for that security function. No connected service can guarantee perfect security; please use a unique password and report suspected misuse promptly.

09 · Your choices and controls

Control the context you share

You can deny or revoke device permissions, edit profile details, choose whether device or location information is visible to a workspace, set document visibility, and remove eligible content. Some features will not work without the specific permission they need, but refusing an optional permission does not prevent core account access.

10 · Your UK data rights

Access, correct, erase—and object

Depending on the circumstances, UK data-protection law gives you rights to access your information, correct inaccurate data, request erasure, restrict processing, object to processing, receive portable data, and withdraw consent where consent is the basis used. In particular, you have the right to object to processing based on legitimate interests.

We may need to verify your identity, and lawful exceptions can apply. Send a request to the privacy email above. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

11 · Children

Not designed for direct accounts under 16

AfriVoice is not designed for children under 16 unless access takes place through a legally authorised institutional arrangement with suitable safeguards. We do not knowingly invite direct child accounts. If you believe a child’s data has been provided outside such an arrangement, contact us so we can review it.

12 · Third parties and changes

Other services and policy updates

Maps, websites, contact links and other third-party services have their own terms and privacy practices. Review those before providing information to them. We may update this policy as features, providers or law change. Material updates will be communicated through the service where appropriate, and the date above will be revised.
